The platform
Everything the road side of the show runs on
Seven modules, one shared record of every tour. Plan it, dispatch it, track it and bill it without a single export between departments.
R. Lindqvist is 1h 40m short on hours for Phoenix → Las Vegas. Standby suggests swapping with D. Mensah on T-133.

Tour planning
Route the whole run before the first truck rolls.
Build a tour leg by leg. Every stop carries its venue, dock window, curfew and contacts, and every leg knows its miles, drive time and the hours your drivers have left.
Leg-by-leg routing
Stops, off days and doubles on one timeline that dispatch and accounting both read from.
Venue advance
Dock access, push distances, height limits and local contacts saved to the venue and reused next tour.
Scenarios
Compare two routings side by side: miles, fuel, overnight costs and drivers required before you commit.
Calculators
Fuel, mileage, team-driver and per-diem calculators built into the planning screen, not a spreadsheet.
Dispatch
Every movement assigned, every conflict caught early.
The dispatch board shows tonight's movements across every tour. Assign drivers, tractors and trailers, and let ShowTime flag hours-of-service limits and double-bookings before anything is confirmed.
Live dispatch board
Movements grouped by tour and call time, with status that drivers update from the road.
Conflict detection
Overlapping assignments, expiring credentials and HOS shortfalls surface on the movement itself.
Load boards
Post or cover capacity through DAT and Truckstop without leaving the movement you are filling.
Exception queue
Late units, swaps and venue changes land in one queue, each with an owner and a timestamp.
Equipment and load plans
Know what is on which trailer, and where it goes next.
Commit trailers, sprinters and backline to a tour and a date range. Build trailer load plans by case and weight so the crew at the dock and the driver on the road see the same plan.
Equipment commitments
Units are held against a tour, so two productions can never book the same trailer by accident.
Trailer load plans
Case-by-case plans with weight distribution, printable for the dock and visible on the driver view.
Availability calendar
See every unit's next free window across all tours before you quote the next job.
Swap tracking
Mid-tour swaps keep the full history of which unit carried what, and when.
Fleet, maintenance and carriers
Keep the units road-ready and the partners vetted.
Maintenance schedules, inspections, fuel and telematics tied to the units actually on the road. Carrier and owner-operator records stay vetted, insured and current.
Maintenance scheduling
PMs and inspections scheduled around the routing, so service happens on an off day, not a show day.
Telematics
Location and hours from Motive flow into dispatch and tracking without re-keying.
Carrier vetting
Authority, insurance and credit checks before you tender, with expiry reminders after.
Driver files
Licenses, medicals and drug-test records attached to the driver, with alerts before anything lapses.
Documents and communication
The right paper, attached to the right job.
Rate confirmations, BOLs, PODs, permits and carnets live on the job they belong to. Messages and email threads with drivers, venues and clients sit beside them.
Job-attached documents
Every file is linked to its tour, stop and movement, ready when a border agent or client asks.
Shared inbox
Venue, client and carrier email threaded to the tour, so nothing lives in one person's mailbox.
Driver messaging
Direct and group messages to drivers on the road, with read status on what matters.
Audit trail
Every change to a movement, rate or document is recorded with who made it and when.
Billing and finance
Bill the tour the way it actually ran.
Progressive billing turns stops into invoices in stages, with accessorials, buyouts and settlements explained line by line. Driver pay, banking and reporting close the loop.
Progressive billing
Invoice by leg, by week or by milestone, with every accessorial traced back to the movement that earned it.
Driver and owner-operator pay
Settlements calculated from the work actually dispatched, with deductions and advances handled.
Banking and reconciliation
Payments matched to invoices and settlements, with QuickBooks export for your accountants.
Reports
Revenue per tour, cost per mile, utilisation and margin, filtered by tour, client or unit.
Driver app and tracking
The driver's whole day, in their pocket.
Drivers see their call time, dock, route and load plan on their phone. Production gets a shareable tracking link, and PODs come back the moment the doors close.
Driver view
Today's movements, venue notes, contacts and documents, built for a phone in a cab.
Status updates
One tap for departed, arrived, loaded and empty, feeding the dispatch board in real time.
POD capture
Photos and signatures filed straight to the movement and into the next bill.
Shareable tracking
Send the tour manager a live link for a single movement, no login required, expiring when the job is done.
Standby
The crew on comms
Standby is the assistant built into every ShowTime screen. Open it with one keystroke and ask the question you would ask your best coordinator at 2am.
It proposes. You say go.
Standby drafts the reassignment, the delay notice or the invoice note. Nothing changes until a person confirms it.
It knows the screen you're on
Ask from Dispatch and it answers about tonight's movements. Ask from Finance and it reads the open bills.
It respects roles
A dispatcher's Standby never sees owner-operator pay or tax forms. Money fields are stripped for roles that can't view them.
A driver is out sick tonight. Who can cover the Seattle run?
Two drivers have the hours and the endorsement:
- M. Okafor · 9.5 h availableHome: Vancouver
- R. Lindqvist · 7.0 h availableOn tour: Stop 4
I drafted the reassignment for Okafor and a heads-up to the TM.
Places, please.
